BeCareers ("BeCareers", "we", "us", "our") collects, uses, stores, and shares personal data when you use our website, recruitment platform, AI screening tools, candidate services, employer services, and related products. We refer to these collectively as the Platform.
This Privacy Policy applies to candidates, employers, recruiters, hiring teams, website visitors, people who contact us, and users of our AI-powered screening and interview tools.

2. Personal data we collect
A. Information you give us directly. Depending on how you use the Platform, you may give us your name, email address, phone number, postal address, account login details, CV, work history, qualifications, skills, job preferences, salary expectations, and availability. You may also provide profile information, application responses, messages sent through the Platform, support inquiries, billing and payment details, employer company information, or other data you choose to share.
B. Information collected when you use the Platform. We may collect information such as account activity, job applications, saved jobs, interview responses, and chat interactions. Audio, video, or transcript data may be collected when needed. We also gather technical usage data, such as IP address, browser and device type, operating system, viewed pages, timestamps, and cookie or similar data.
C. Information from third parties. We may get personal data from employers or recruiters, job boards or partner platforms, service providers, and integrations. Data may also come from identity, fraud, or payment providers; analytics providers; and lawful public sources.
D. Special category data. In some situations, recruitment information may include sensitive data such as health or diversity information. This special category data receives additional protection under the UK GDPR. We process this data only when we have a valid legal basis and, if needed, an additional condition.
3. How we use your personal data
A. To provide the Platform. We use personal data to create and manage user accounts. Candidates can search and apply for roles. Employers can post roles and review applicants. We enable messaging, dashboards, platform features, customer support, subscriptions, payments, and account administration.
B. To run AI screening and interview tools. We may use candidate application data and responses to deliver AI-led screening. We generate transcripts, summaries, scores, tags, or recommendations. This helps employers review applicants efficiently and ensures a consistent recruitment workflow.
C. To improve and secure the Platform. We may use data to monitor platform usage and performance. We troubleshoot bugs and service issues. Data helps us maintain security, prevent fraud, abuse and misuse, develop our services, and analyse Platform use.
D. To communicate with you. We may use your data to send service messages and respond to support requests. We notify you about applications, interviews, or account activity. We send marketing communications only where allowed.
E. To comply with legal obligations. We may use your data to comply with legal or regulatory requirements. This helps us handle disputes or complaints, establish or defend legal claims, and enforce our terms and policies.
4. Our lawful bases
Depending on the context, BeCareers may rely on one or more of the following lawful bases:
A. Contract. We process personal data where necessary to provide the Platform or perform a contract with you, such as creating your account, enabling job applications, delivering employer tools, running paid subscriptions, and providing requested platform functionality.
B. Legitimate interests. We may process personal data if it is needed for our legitimate interests. Our interests must not override your rights and interests. This includes improving and securing our Platform, preventing fraud or misuse, supporting employer-candidate workflows, and understanding user behaviour.
C. Consent. We rely on consent where required, including for certain cookies and some marketing activity.
D. Legal obligation. We may process personal data where necessary to comply with legal obligations.
E. Special category data. Where we process special category data, we identify both a UK GDPR lawful basis and an additional condition required by law.
5. Recruitment and AI screening
BeCareers may use AI tools for recruitment. These may include chat-based screening, structured interview workflows, response summaries, transcription, and workflow automation. Where our AI produces a score, it does so against role-specific, auditable metrics tied to the questions asked - it does not rank candidates against each other and does not reject an application.
These tools are designed to support recruitment decisions, not to remove appropriate human judgment. We do not use candidate CVs, applications, interview responses or transcripts to train our AI models.
Important information about automated processing
We do not make solely automated decisions about candidates that have legal or similarly significant effects without meaningful human involvement. Our AI screening tools assist a recruiter's review - they gather information, identify gaps, produce transcripts and structured summaries, and score responses against auditable metrics - but they do not rank, reject or make hiring decisions. A human always makes the final decision about who progresses.
6. Who we share personal data with
We may share personal data with employers, hiring teams, recruiters, or agency users authorised by employers. We use the following named service providers to run the Platform:
Amazon Web Services (AWS) - hosting and email sending, on UK (London) availability zones.
Microsoft 365 (UK) - BeCareers' own business email.
Google - website analytics only (visitor-flow data, never personal application or screening data - see our Cookie Policy).
We may also share personal data with payment processors, professional advisers, regulators, law enforcement or courts when required, and group companies or new owners as relevant. We only share personal data where there is a valid reason to do so.
Still needs a solicitor: where BeCareers acts as a processor for an employer customer's candidate data, a proper Data Processing Agreement should govern that relationship - not yet drafted.
7. International transfers
Candidate and other personal data is hosted and processed in the UK only (AWS UK/London availability zones), and is not transferred internationally.
The only data that leaves the UK is anonymous, non-personal website analytics (visitor flow, page views) processed by Google as part of our website analytics - this is never linked to a candidate's identity, application, or screening data. See our Cookie Policy for detail.
8. Cookies and similar technologies
We use cookies for website analytics (visitor flow, page views) via Google Analytics. We do not currently use any advertising or marketing cookies. For more detail, including a cookie consent banner we are adding to this site, see our Cookie Policy.
9. Marketing communications
We may send service messages necessary to operate your account or the Platform. We may also send marketing communications where allowed by law. You can opt out of marketing emails at any time by using the unsubscribe link in the message or contacting us.
10. How long do we keep personal data
We keep personal data only as long as needed for the purposes in this Privacy Policy. Retention is managed through configurable retention settings within the Platform rather than one fixed rule for every customer - an employer's own retention instructions, where applicable, take precedence for the candidate data processed on their behalf.
Current default periods: job applications and screening records - 6 months from the end of the recruitment exercise; employer account data - 2 years after contract end; support requests - 12 months; cookie data - see our Cookie Policy. We may retain data for longer where required by law or where necessary for legal claims.
11. Your rights
Under UK GDPR, you may have rights such as being informed, accessing your data, requesting corrections or erasure, restricting processing, having your data portable, and objecting to processing. Because a human always makes the final decision on your application (see section 5), the specific right to object to solely automated decision-making does not apply here - but you can still request an explanation of how your AI screening score was produced at any time.
Candidates specifically also have: 30-day consent check-ins reconfirming your continued consent to be considered; true data deletion on request, not just deactivation; and the ability to block a specific current employer from seeing your profile - this last one is still in testing and being rolled out, not yet available to every candidate.
A Data Protection Impact Assessment (DPIA) covering our AI screening tools exists and is available on request.
To exercise your rights, contact us at dpo@becareers.co.uk. We may need to verify your identity before we can respond. You also have the right to complain to the Information Commissioner's Office (ICO) if you believe your personal data has been handled unlawfully.
12. Security
We take technical and organisational steps to protect personal data from unauthorised access, loss, misuse, change, or disclosure. No system is completely secure, and we cannot guarantee absolute security, but we work to protect the data we hold using reasonable safeguards.
If a personal data breach occurs that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office (ICO) within 72 hours of becoming aware of it, where required by law, and will notify affected individuals and employer customers without undue delay.
13. Children
The Platform is intended for adults and is not directed to children. If you believe a child has provided us with personal data inappropriately, please contact us so we can investigate and take appropriate steps.
14. Third-party links and services
Our website or Platform may contain links to third-party websites, tools or integrations. We are not responsible for their privacy practices. You should review their privacy notices separately.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will take reasonable steps to notify users, for example, by updating this page or contacting registered users directly.
